Job Description

We are looking for a proactive, responsible, resolute, positive, multitasking and patience candidate with excellent presence able to work in Spanish as well as English.

Outstanding interpersonal skills who can work under pressure, team oriented, and pay attention to detail and deadlines.

Responsibilities :

  • Provides secretarial / administrative support to a finance department or managers below the Executive level.
  • Maintain files records and calendars updated.
  • Arranges business travel, coordinates meeting arrangements, travel agenda, hotel booking, flight tickets and transfers.
  • Attention to visitors and clients at the reception desk, offering water and coffee.
  • Acts as back up at MI’s reception.
  • Maintain the stock of office supplies.
  • May receive, screen and direct incoming calls, visitors, mail and emails.
  • Provide assistance to the office in the organization of internal and external events.
  • Provide support with maintenance programs for the office.
  • Provide support with Management Meetings tasks such as surveys to issuers, track management meeting notes and upload them into RDR.
  • Prepare T&E reports when applicable
  • Connect videoconferences and daily huddles (Zoom, Webex, Skype, Polycom)
  • Requirements

    Basic Qualifications :

  • Bachelors (ongoing) in any subject
  • 3 years of work experience in similar roles.
  • Advance / bilingual English language command. Mandatory.
  • Narrow independence of action.
  • Uses existing procedures to solve straightforward problems.
  • Follows appropriate security protocols.
  • Preferred Qualifications :

  • Portuguese knowledge is desirable.
