Job Description

Parexel is looking for a Senior Business & Training Assistant to join their team in Argentina!

The Senior Business & Training Assistant provides a wide range of administrative support to the CTS&L (Clinical Trial Supply & Logistics) Leadership Team.

The position will work with VP-level and above to ensure that departmental administrative matters and project related work are up to date, complete, and readily available to team members.

Additional focus will be on administering and setup of CTS&L-specific training initiatives and programs. As a well-organized individual, the Senior Business & Training Assistant shall carry out all functions with experience and to high standards of quality and efficiency.

The Senior Business & Training Assistant will own defined internal projects and processes.

Key Accountabilities :

General Administrative tasks

  • Booking of required travel arrangements to domestic and worldwide
  • destinations (flights, accommodation, trains, rental cars, taxis etc.).

  • Processing of expense reports for LT Member in same location (or for selected others in their teams)
  • Calendar management across multiple time zones requiring interaction with both internal and external Executives and Assistants.
  • Internal and external meeting organization; Includes but not solely : room booking, agenda compilation, technical set-up, supplies for meeting (flip charts, sticky notes, documentation, catering, restaurant booking, refreshments), meeting minutes, organizing visitor passes etc.
  • Collection and organization of incoming and outgoing correspondence (where required).
  • Printing, copying, faxing, mailing, scanning and filing of correspondence and documents.
  • Phone answering and backup; Monitoring and answering emails (where required).
  • Department internal supply management (e.g. IT-supplies, business cards etc).
  • Ensuring accurate and timely payment of respective invoices
  • Assisting with department-wide ad hoc queries and issues regarding systems, access and ticket resolution (e.g. Concur, KOFAX, PMED)
  • Additional similar and possibly ad-hoc tasks based on business requirements
  • Department Admin tasks

  • Owning the yearly JD / CV update process for CTS&L globally
  • Owning and administrating the CTS&L Email Distribution Lists
  • Owning and administrating the CTS&L Connect Page (jointly with the content owners)
  • Driving regular updates for CTS&L on jointly with Corporate Marketing / Communications
  • Maintaining CTS&L general central file storage (non-sponsor-project-related)
  • Additional similar and possibly ad-hoc tasks based on business requirements
  • Internal project related tasks

  • Supporting internal training and L&D initiatives with scheduling and further administrative and program management tasks
  • Supporting research and information gathering activities
  • Supporting with conducting Powerpoint presentations
  • Additional similar and possibly ad-hoc tasks based on business requirements
  • Skills :

  • Ability to manage multiple projects and tasks simultaneously
  • Excellent working knowledge of Microsoft Office programs (Word, PowerPoint, Excel and Outlook).
  • Excellent knowledge of communication and meeting tools such as MS Teams, WebEx, Zoom etc.
  • Ability to interact with staff at all levels
  • Excellent interpersonal, verbal and written communication skills
  • Business fluent English (written and verbal)
  • Education :

  • Bachelor's degree preferred, however experience in lieu of a degree will be considered
