The Business Operations Assistant will provide administrative support and coordination to Commercial Operations (CommOps) pre-sales management and staff including :
Coordination and assignment of pre-sales workload
Responsible for accuracy of pre-sales related information in the CRM system
Proactively liaises with CSD / CRD team, IT and other stakeholders to solve queries, clean and update any unresolved issues or conflicts related to requests for assignments, due dates, revisions, etc.
Works within the Salesforce reporting environment to prepare weekly, monthly and other periodic reports for the staff and the management team.
Sets alerts and reminders for himself and others to ensure the team complies with all admin tasks, metrics, processes, and systems, especially during the month-, Q-, and fiscal year-end.
Maintains team OOO calendar on a daily basis.
Continuously educates and supports staff on CRM best practices including maintaining and updating the ComOps Coordinators Manual.
Assist ComOps LM with scheduling and setting up meetings, agendas, and minutes.
Assists staff with first drafts, transcription, editing and final assembly of internal and external documents.
Occasionally, assists with RFI / RFP translations to / from local language.
Fluent in English and local language, both oral and written. Portuguese is a plus.
Accurate, thorough and detail-oriented, with superior organizational skills.
Fast thinker and good time management skills. Ability to multitask and re-prioritize work as the day progresses.
Ability to take ownership of assigned duties, manage multiple tasks, flexible working hours.
Ability to work with minimum supervision in a fast-paced environment.
Excellent working knowledge of Windows, Microsoft Word, Excel, Powerpoint, and Outlook.
Knowledge of databases. Knowledge of CRM systems is a plus.
Good numeracy skills.
